Getting Started

This page walks a new staff member through signing in, choosing an organization, and finding their way around Medbot CMS. It applies to every role.

Before you start

You need a Medbot sign-in and a place in an organization. Your Clinic Admin adds you from Staff or shares a join code (see Join an Organization). If your clinic does not use Medbot yet, see Create an Organization.

1. Sign in

Open the CMS and select Sign In. Enter your email and password, or use the option your clinic set up. If you were invited, accept the invitation email first.

2. Choose your organization

After you sign in, the welcome screen shows Welcome back and Choose the organisation and role to continue as. Each organization you belong to appears as a card with its name and your role there.

  1. Select Enter as followed by your role on the card, for example Enter as Receptionist.
  2. The CMS opens on the Queue page.

The same screen has Join with code, Create organisation, Manage organisations, and Sign out. You see the welcome screen once each time you sign in. To change organization later, see Choosing & Switching.

Note: You act with one role per organization. If you belong to two organizations, you can be a Doctor in one and a Nurse in the other.

3. Learn the sidebar

The sidebar on the left lists the pages your role can open. The groups are Patients, Scheduling, Billing, Pharmacy, and Administration. You only see items your role may use.

At the top of the sidebar you see your organization and your role. At the bottom you see your name, which opens your account menu. If your deployment is a test environment, a strip at the top of the screen reads STAGING and says the data is test data only.

For what each role can do on each page, see Roles & Permissions.

4. Set your appearance

Open Settings from your account menu. The Appearance section lets you choose how the CMS looks for you only. This does not change anything for other staff. Settings for the whole clinic are in Organization Settings.

5. If you cannot open a page

  • If the sidebar does not show a page, your role cannot open it.
  • If you open a page by address and see “This action requires one of the following roles”, ask your Clinic Admin whether your role should change.
  • If you are asked to log in again, sign in and choose your organization again.
