Getting Started

Three things have to happen before a patient sees their own clinical data: a Medbot account, a one-time onboarding step, and at least one account link to a clinic. They happen in that order.

1. Create an account or sign in

The portal uses an ordinary email-and-password (or social) sign-in. Signing up creates a Medbot account and nothing more — a brand-new account has no clinical data behind it and is not yet known to any clinic.

2. Onboarding

Every account passes through a one-time onboarding screen that asks for three fields:

  • First / given name
  • Last / family name
  • Date of birth

For a self-registered patient every field starts blank. For a patient whose account arrived through a clinic invite, the fields are pre-filled from the clinic’s chart — which may be out of date, so confirming or correcting them is the point either way.

3. Connect a clinic

Linking is not required to open the portal, but an account with no link has no clinic records behind it, so its tabs stay empty until one exists. Connect from Profile → Connected clinics. There are two ways to get a link.

Self-service: identifier, date of birth, and a code

  1. Pick the clinic from the list of clinics available to connect to.
  2. Enter the identifier that clinic holds on the patient’s chart (NRIC, FIN, or passport number) together with the date of birth.
  3. Enter the six-digit code sent to the contact detail on that clinic’s chart.

The first step answers the same way whether or not a record matched, so the form cannot be used to probe whether someone is a patient of a given clinic. An expired code means starting the step again.

Clinic-issued invite

Staff can issue an invite from the CMS (“Send portal invite” on a patient’s record). The invite is a link the patient opens while signed in; opening it consumes the token and links the account immediately. If the token has already been used or has expired, the self-service form above is offered as the fallback.

A patient who signs up from the invite link is brought back to it automatically once the account exists, so the link completes in one pass.

After linking

Once one link exists, every tab has real data behind it. The link itself still needs the patient’s consent before that clinic’s records start syncing — see Connected Clinics, which also covers adding a second and third clinic.

No chart yet?

A patient who has never been seen at the clinic does not have a chart to link to. Staff issue a self-registration invite instead, which collects the patient’s details first and creates the chart. See Invites & Join Links.

Invited as a caregiver?

Someone who has been invited to help with another person’s record signs in or creates an account the same way, then opens the caregiver invite link. A caregiver does not need a clinic link of their own to act for the person they care for: the record they see is the dependant’s. See Caregivers & Family Access.
