Staff App Overview

What is Medbot CMS?

Medbot CMS is the clinic operations app. It is the day-to-day system a clinic’s front desk, nurses, doctors, and administrators use to run a physical location. Staff register patients, book and run appointments, manage a walk-in queue, roster staff, record clinical care, file results, and bill for visits.

It sits alongside the patient portal, where a clinic’s own patients sign in to request appointments, read visit summaries, message the clinic, and manage their contact details. See the Patient tab for the patient’s own view.

Key concepts

ConceptWhat it is
OrganizationA clinic’s account: its staff, locations, and patients. A person’s role is set per organization, so someone can be a Clinic Admin at one clinic and a Nurse at another. See Roles & Permissions.
Clinic locationA physical site. Sessions, rooms, staff assignments, and the queue are all scoped to one location at a time.
Clinic sessionA location’s working day: which staff and rooms are active. Opened from Session Setup.
Reception queueThe live, location-scoped list of today’s booked and checked-in patients. See Reception Queue.
RosterThe staff schedule: draft shifts, recurring patterns, and a publish step that starts each day’s session and attendance tracking. See Rostering.
Patient portalA separate, patient-facing app where a clinic’s patients sign in to manage their care. Staff connect a patient to it from the chart. See Patient Portal.

What you can do with Medbot CMS

  1. Run the front desk by registering patients, booking appointments, operating the reception queue, and replying to portal messages.
  2. Roster and track staff by planning shifts, publishing the week, and letting attendance derive from what staff actually do in the app.
  3. Deliver clinical care by starting encounters, recording vitals and vaccinations, placing orders, reviewing results, and issuing documents and certificates.
  4. Run the back office by managing staff accounts, maintaining the formulary and inventory, and handling billing.
  5. Give patients self-service access by inviting them to the patient portal.
