Billable Catalog
The billable catalog is the list of everything the clinic can charge for, with its price. Find it at Billing → Catalog (/catalog). Each entry is a charge item definition. Billing draws its line items from this list.
Who can do this
| Task | Clinic Admin | Receptionist | Doctor | Nurse |
|---|---|---|---|---|
| See the catalog | Yes | Yes | No | No |
| Create, import, or delete a charge item definition | Yes | No | No | No |
| Manage vaccination services | Yes | No | No | No |
Receptionists see the tables without the New definition and Import CSV buttons. Doctors and nurses cannot open the page.
Reading the table
The table shows Title, Identifier, Status, Code, Price, Version, and Last Updated. Use the search box to find an entry by title. Prices read like “80.00 SGD (base)”. A definition that is not Active is not offered when adding charge items to an account.
Adding a definition
- Select New definition.
- Fill in Title and Billing Code. The Slug fills in from the code or title. It is the lookup key other parts of the CMS use to find the price, it must be unique, and it never changes once assigned. Select Edit manually to type your own (lowercase letters, numbers, and hyphens).
- Choose a Status: draft, active, retired, or unknown. New definitions start as draft. Choose active to make one billable.
- Check the Bill category: Consultation, Prescription, Investigation, or Others. The form suggests one from the code system, the billing code, and the title. Change it if the suggestion is wrong. See Bill categories.
- Under Pricing, choose the Type (the default is base, which sets the price), enter the Amount, and choose the Currency (the default is SGD). The other choices are MYR, AUD, USD, EUR, GBP, and CAD.
- Select Create. If the slug is already used you see a message that the slug already exists.
In Singapore, prices must be in SGD. Another currency is refused, for example “Prices here are in SGD; “USD” is not accepted.” Enter prices with GST included. The bill works out the GST they contain. See Reading the invoice.
The optional fields are Version, Publisher, Identifier, Code System, and Description. To base a definition on a vaccination service, pick it in Vaccination service.
Importing many definitions
Select Import CSV, then Download template for the format. The file needs a status column and either a slug or a url for each row. Rows whose slug or URL already exists are skipped, and the dialog lists problems by row before you import. An optional category column sets each row’s bill category: consultation, prescription, investigation, or others. A row without one gets the suggested category. Any other value is refused with a message starting “Invalid category”. A row with an amount but no currency is priced in the organisation’s currency, and in Singapore a currency other than SGD is refused.
Bill categories
Every definition has a bill category. It decides where the charge is totalled on the invoice:
| Bill category | Use it for |
|---|---|
| Consultation | Consultation fees |
| Prescription | Medicines |
| Investigation | Lab tests, imaging, and other investigations |
| Others | Anything else |
The invoice shows a total for each category. In Singapore the category is also the CHAS claim bucket, so a wrong category puts the charge in the wrong bucket of the claim.
A charge copies its category from the definition when it is added to an account, and keeps it after that. A definition made before categories existed has none. When its charges are billed, they get the category the form would suggest.
Deleting a definition
Open the row’s actions menu and select Delete. A definition cannot be deleted while a billable or planned charge item still uses it. The message tells you to bill or retire those items first.
Vaccination services
Below the table, Vaccination services lists the billable vaccination items. New service adds one. Vaccination services can be ordered during an encounter or attached to a charge definition. See Vaccinations.
