CMSPlatform Administration

Platform Administration

Note: Only Medbot platform superadmins see these screens. No clinic role, including Clinic Admin, gives access.

Platform administration is where Medbot operations staff handle requests for Medbot-hosted organizations, look after those organizations, and decide who else is a platform superadmin. The screens appear in the sidebar under Platform. A clinic that wants a hosted organization starts from Medbot-Hosted Organizations.

If a person without the superadmin role opens these addresses, the page says 404 | This page could not be found. The screens are hidden on purpose.

Provisioning requests

Open Platform → Provisioning requests (/admin/provisioning). The page is headed PLATFORM ADMINISTRATION and lists every request for a Medbot-hosted organization. Tabs group them by status: Pending, In progress, Fulfilled, Rejected, and Cancelled. Each row shows the Requester, Organisation, Country, Requested date, and who it is Assigned to. When a tab is empty the page says “No requests in this status.”

Select a request to open it. The page shows the requester, the requested time, country, time zone, the slug the requester asked for, who claimed it, and any message or rejection reason. A history of what happened to the request is at the bottom.

Claim a request

For a pending or in-progress request, select Claim. This tells other administrators that you are handling it. Select Release to hand it back.

Keep notes

Type in Admin notes and select Save note. Notes are never shown to the requester.

Reject a request

  1. Select Reject.
  2. Write a reason. The reason is emailed to the requester exactly as you write it.
  3. Confirm. The request moves to Rejected.

Fulfil a request

Provision the organization’s medical record server first. That step happens outside the CMS. Then:

  1. Select Fulfil.
  2. Check the Organisation name and slug, and enter the Medplum base URL (optional), Medplum client ID, and Medplum client secret.
  3. Turn on Force only if you need to override another administrator’s claim.
  4. Confirm. A message shows Organisation provisioned with the organization’s join code.

The requester is emailed that the organization is ready. On a fulfilled request, Resend email sends that message again. The card shows when it was last sent, or why sending failed.

Hosted organizations

Open Platform → Hosted organisations (/admin/organisations). The page lists every organization Medbot provisioned and holds credentials for. If there are none it says No hosted organisations yet. Each entry shows whether it is Active or Offboarded, and the request it came from (“No originating request on record” when there is none).

  • Set credentials or Rotate credentials saves a new Medplum client ID and secret (and an optional base URL). A Credentials updated message confirms it. An organization’s own Clinic Admin cannot change credentials for a hosted organization.
  • Offboard ends access: “Its staff can no longer sign in and every active PHR link is discharged. This can be reversed.”
  • Reactivate restores it: “Its staff will be able to sign in again immediately.”

Platform admins

At the bottom of the hosted organizations page, Platform admins grants or removes the superadmin role by email.

  1. Enter the person’s Email and select Search.
  2. If they have never signed in, you see “No account found for that email yet”. They must sign in once before they can be promoted.
  3. Choose the role in the list and select Save. A Role updated message confirms it.

Caregiver access

Open Platform → Caregiver access (/admin/caregivers) to look up caregiver access across every organisation, for example when a patient or family member contacts Medbot support.

  • Search by email, Clerk user id (user_...) or PHR patient id. Results show the grants the person holds or that exist on that record, with each grant’s history.
  • Revoke ends a grant at once, after the confirmation “Revoke this caregiver?”.
  • Invite a caregiver on a patient’s behalf. A platform invite requires a written basis for the access, and the caregiver still has to accept it. The patient sees the grant as added by Medbot support.

The same screen is also in the Medbot web app’s admin area, under Caregiver Access.
