Workstation

The Workstation is a service’s view of today’s clinic queue. It shows who has arrived, where each patient is in their visit, and what needs attention. From it, staff move patients through the visit journey and run the clinical consult.

Open it from Workstation in the service’s sidebar group (/services/[serviceId]/workstation). Anyone who can open the service can use it.

How it connects to the clinic

The Workstation does not keep its own queue. It reads the Medbot CMS queue for the service’s clinic location, the same queue the front desk runs, so:

  • a patient checked in at reception, or who checked themselves in on the patient portal, appears here
  • starting a step that maps to a CMS queue stage (nurse, doctor, dispensary) moves the patient to that stage in the CMS
  • completing every step of the journey completes the visit in the CMS

The patient’s side

On the day of the visit, patients follow the same journey on the patient portal:

  • Self check-in (“Register your arrival”), either by location when they are at the clinic or with the 6-digit arrival code shown at the counter. They get a queue number.
  • A live queue tracker that tells them where to go next.
  • Sessions your clinician arranged: AI financial counselling or health education sessions that staff arrange for this visit.
  • A visit outcome screen at the end: what was found, medicines started, next steps and billing.

In the CMS, the front desk can Arrange session for a patient and Complete visit with findings, medicines started and next steps (pre-drafted by AI). See Reception Queue.

The board

The board refreshes itself every few seconds; Refresh reloads it immediately.

Row actions:

  • Mark arrived checks in a patient who is booked but not yet here.
  • Add to service enrols a patient from the queue into this service’s cohort.
  • Open visit opens the patient panel.

The patient panel

Open visit opens a side panel for that patient’s visit:

  • Escalation, if there is one, with Acknowledge and Resolve.
  • Unanswered portal message, if the patient is waiting on a reply.
  • Today’s journey: every step of the visit with its status. For each step: Start <step>, Mark complete or Skip.
    • A step that runs as an AI encounter (history taking, health education, financial counselling) opens the in-clinic encounter dialog, so the patient can do it on a clinic device. See AI Encounters & Kiosk.
    • The consult step has Start clinical consult, or Resume clinical consult once started.

The clinical consult

Start clinical consult opens the consult screen for the visit: Medbot’s notes editor, with the patient’s note for this visit, under the service’s breadcrumb.

  • The note saves automatically.
  • Record the consult with the encounter recorder. On this screen it transcribes every 45 seconds, and a Transcript pane beside the note shows the conversation almost live. Pause and resume without losing the microphone.
  • When the recording ends, review the AI-drafted note section by section and add what you want.

Click End consult when you are done. The AI reads the plan in the note, decides which of the service’s other journey steps it calls for (for example financial counselling, health education, medications collection or a follow-up appointment), adds them to the visit, completes the consult step and notifies the patient of what was arranged. The toast “Consult ended” explains what was added and why. If the AI or the notification fails, the consult still ends.

Settings

Workstation settings (/services/[serviceId]/workstation/settings):

  • Clinic location: whose queue to show, or Organisation default.
  • Default to only my assigned patients.
  • Show next steps on the patient portal by default.

Click Save settings.

The visit journey

The same page defines the service’s visit journey: the steps every visit goes through. The defaults are:

  1. Registration
  2. Vitals
  3. Investigations
  4. Consult
  5. Financial counselling
  6. Health education
  7. Medications collection
  8. Follow-up appointment

For each step:

FieldMeaning
NameShown to staff, e.g. “Vitals”.
KeyA short identifier, e.g. vitals. Every step needs one.
OrderPosition in the journey.
CMS queue stageNurse, Doctor or Dispensary queue, or none. Starting the step moves the patient to that stage in the CMS.
AI encounter kindFor a step the patient does with the AI assistant: History taking, Health education or Financial counselling.
Included by defaultWhether every visit starts with this step, or it is only added when needed (for example by End consult).
ActiveTurn a step off without deleting it.

Add step adds a custom step; Save steps saves the journey. Changes apply to new visits. A visit already under way keeps the steps it started with.
