Staff
The staff page is where a Clinic Admin adds the people who work in the organization, keeps their roles and registration numbers current, and removes their access when they leave. Find it at Administration → Staff (/staff).
Who can do this
| Task | Clinic Admin | Receptionist | Doctor | Nurse |
|---|---|---|---|---|
| See the staff list | Yes | No | No | No |
| Add a staff member | Yes | No | No | No |
| Change a role or registration number | Yes | No | No | No |
| Deactivate or reactivate a staff member | Yes | No | No | No |
Other roles do not see Staff in the sidebar. If they open the address directly, the page says the action requires the admin role.
Adding a staff member
- Select Add Staff.
- Enter the person’s Email, First name, and Last name.
- Choose a Role: Clinic Admin, Doctor, Receptionist, or Nurse.
- For a Doctor, enter the Medical License Number (the MCR number, for example
M12345A). For a Nurse, enter the Nursing Registration Number (the SNB number, for exampleN123456). Both are required for those roles. The number is checked as you type and is shown in capital letters without spaces. - Select Add staff. A Staff added message confirms it.
If the person already has a Medbot sign-in, they can use it right away. If not, they receive an invitation and must accept it before they can sign in. Adding someone who is already a member of the organization is refused with the message This person is already a member of the organisation.
A clinical profile for the person is also created automatically in the organization’s medical record system. Features that record who did something, such as communication consent, rely on it.
To let someone in with a join code instead, see Join an Organization and Members & Roles.
The staff list
The table shows each person’s Name, Email, Role, License (their registration number, or a dash), and Status (Active or Deactivated). A person who was invited but has not yet joined appears with the name “Invited”.
Changing a role or registration number
Open the actions menu on a person’s row (the three dots labeled Actions for and their name).
- Edit role changes the role. Changing someone to Doctor needs a medical license number, otherwise you see “Medical license number is required to change this member to doctor.”
- Edit registration corrects the registration number. It appears only for roles that carry one.
The new role applies everywhere in this organization from the person’s next page load. A person’s role in one organization does not affect their role in another.
Deactivating and reactivating
- Open the row’s actions menu.
- Select Cancel (deactivate).
- Confirm. The message reads: “They will no longer be able to sign in or be assigned new work. This can be reversed at any time.”
Deactivating keeps the person’s history and ends their access to this organization at their next request. They are locked out of Medbot entirely only if they have no other active membership in any organization.
To bring someone back, use Reactivate on the same row and confirm. “They will be able to sign in again immediately.” Reactivate the existing person rather than adding them a second time.
Two rules protect the organization:
- You cannot deactivate your own account. The menu item is disabled on your own row.
- At least one active Clinic Admin must remain. Removing the last one is refused with “At least one active administrator must remain.”
