Care Team
The Care team tab on a service’s page brings together its members, coverage, and availability.
Roles come from the organisation
A service has no roles of its own. Each care team member acts under the role they hold in the organisation:
| Role | Label |
|---|---|
admin | Admin |
doctor | Doctor |
nurse | Nurse |
receptionist | Receptionist |
If someone’s organisation role changes, their role on every service changes with it. The same four roles appear wherever a service asks for a role: coverage, the patient agent’s escalation role, and the appointment role filter. Roles are managed in the organisation, not the service; see Members & Roles.
Members
Click Add care team member:
- Pick an Organisation member. Only people who are already members of the service’s organisation can be added. The dialog shows the role they will join with: “Joins this care team as <Role>, their role at the organisation.”
- Optionally add Additional information on user preferences, such as how they like to be contacted or what they handle. AI turns it into that member’s agent context, which service agents are given when they work with or for this person.
- Click Add <name> to care team.
Each member’s card shows their agent context, which can be edited, and a Remove from care team action.
Staff are not invited to a service by email: add them to the organisation first, then to the care team.
Coverage / rota
Coverage says who is covering a role at a point in time. Several platform behaviours, such as patient agent escalations, address “whoever is covering the Nurse role right now” rather than a named person, so a day off does not leave notifications with nowhere to go.
Add an entry from the Coverage / rota card: Organisation member, Role, Starts, and optionally Ends, then Add coverage.
Availability
The Availability card defines each care team member’s recurring weekly booking windows. Both the staff booking flow and the patient agent read these to work out open slots. See Appointments.
- Click Add availability.
- Pick a Care team member.
- Pick a Day of week, and set Start and End (all in UTC).
- Set a slot length in minutes, e.g. 30.
- Click Add.
Toggle a window’s Active switch to take it offline temporarily (for leave) without losing it, or delete it with the trash icon. If nobody has any availability, nothing can be booked, and the card says “No availability set yet”.
