Encounter Recording

A clinician can record a consultation for up to an hour and have AI draft a structured clinical note from it, then review the draft section by section before anything goes into the note.

Recording is available wherever Medbot’s notes editor is used: the web app’s notes workspace, the Workstation consult screen, and the patient notes editor in Medbot CMS. Quick dictation is still available next to it.

Recording

  1. In the editor, click Record encounter (“Record the consultation and draft a clinical note from it”). Allow microphone access if the browser asks.
  2. An AI is listening pill shows the elapsed time and progress. Use Pause and Resume as needed.
  3. Click Stop when the consultation ends. The pill shows Finishing the recording…, then Writing the summary….
LimitValue
Maximum length60 minutes. The timer warns in the last 5 minutes, and recording stops by itself at the limit.
TranscriptionIn segments as you go: every 5 minutes, or every 45 seconds on the Workstation consult screen for a near-live transcript.

No audio is kept. Each segment is transcribed and then discarded; only the transcript is stored. If a segment fails to upload or transcribe, you can Retry it or Continue without it, and the gap is marked in the transcript.

Writing the summary runs in the background, so closing the tab does not lose the recording. Earlier recordings for the note are listed under Previous sessions.

Reviewing the summary

When the summary is ready, Encounter summary opens with the Recorded session transcript on one side and the Proposed clinical note on the other.

The note is drafted under these headings:

  • Presenting complaint
  • History of presenting complaint
  • Past medical / surgical history
  • Medications
  • Allergies
  • Family history
  • Social history
  • Patient concerns
  • Examination
  • Assessment
  • Plan
  • To clarify: shown as Confirm before signing, for anything the AI was unsure of

Edit any section, then:

  • Add to note on a section inserts just that section into the note, as headings and bullets.
  • Add all (or Add remaining N) inserts everything not yet added.
  • Regenerate drafts the summary again from the same transcript.
  • Discard drops the draft.

A recording belongs to the note it was made in. If you switch to a different note, inserting is blocked (“This recording was made for a different note”) until you switch back.

For administrators

Transcription uses the default audio model, managed by an administrator under Audio Models (/admin/audio-models), where one model is marked with Set as default. The summary is written by the platform’s default language model.
